Problem Codes

What are problem codes, and what do they mean? Problem codes are used in the Move Request form to identify the request and what unit(s) can provide the appropriate services. Below are the codes and descriptions you will see when you submit a Move Request. 

Move Requests

Below are problem codes you will see when submitting a "Move Request". In the dropdown area of the form you can start typing the problem code below and it should move to the top of the list.

CodeDescription
BOOK-CARTSRequest for only book movers/ book carts to be dropped off and later picked up after customer is finished using them. This does not include a move.
EXPED.-SURPLUSFrom locations on campus to Surplus Warehouse (max 4 rooms to Surplus) Note: this is a paid service requested to expedite the typical Surplus pickup request.
MAJOR-MOVEMove involving 5+ rooms and/or 1+ office suites.  If a move is associated with a renovation project, this should be requested/scheduled through the project manager.  A member of EMS will reach out to discuss the details of the move.
MINOR-MOVEA move that includes 1-4 rooms/locations being moved into 1-4 rooms/locations.  Note: Office suites are considered Major Moves.
OFFSITE-MOVEOffsite storage unit to/from locations on campus (max 4 rooms to/from offsite storage; for 5 or more rooms please choose the Major Move type)
REARRANGEMENTMoving/rearranging furniture or items within the same room
ROOM-SWAPTwo offices/rooms/locations that trade with each other.  For example:  Room A moves to Room B.  Room B moves to Room A.
SPECIALTY-MOVEHigh value; research-related; supporting curator transport; moves that require a direct transfer of items from one location to another without any stops; lab equipment relocation (note: install is not included); delivery from Document Solutions

History

UT Works enables the University to better manage its physical spaces, improve the delivery of mission-critical services, provide better and more useful data to drive capital projects, and streamline workflows across units and departments in the Senior Vice President and Chief Operating Officers and Financial and Administrative Services (FAS) portfolios. UT Works replaced both Facility and Asset Management Information System (FAMIS) and Work Order Request and Query System (WORQS).

Staff working in the following areas will use UT Works: 

  • Facilities Services
  • Planning, Design and Construction
  • University Housing and Dining
  • Utilities and Energy Management
  • Business and Financial Services

The FAMIS and WORQS represented 20-year-old technologies that had reached their end of life and were not prepared to meet the future needs of the University as outlined in its 10-year strategic plan. UT Works not only replaced FAMIS and WORQS, but as part of this process, we are taking the opportunity to transform the way we support the University, not only through the implementation of best-in-class technology but also by re-imagining how we provide our services to the university.

UT Works will support the following functions at UT:

  • Capital projects
  • Work management
  • Facilities asset management
  • Warehouse inventory management
  • Location inventory management
  • Billing and cost tracking
  • Customer service

Program Phases and Timelines

UT Works Phase 1 went live on November 5, 2024

This multi-phase program will be implemented with the full involvement of the program partners and stakeholders across the University. All units involved will work together collaboratively on decisions, designs, functionality, and processes. Each phase of the program includes comprehensive plans to provide staff with the training and support necessary to ensure the program's success. 

Phase 1: Operations & Maintenance (O&M), Capital Planning and Project Management (CPPM), UT Works Request Forms (ReADY)

Phase 2: O&M, CPPM, and Request Forms Optimization, Key and Access Control

Phase 3: Space Management, Real Estate and Lease Management, Sustainability/Energy Management, and Portfolio Planning and Analysis,

The governance structure established for the UT Works program includes different levels of leadership within the units involved in the UT Works Program along with key stakeholders whose insights will be instrumental in informing the design and implementation of UT Works.
